A patient enquiry pipeline for a clinic group

A group of four clinics tracks every enquiry from first message to booked appointment, with reminders that send themselves.

This is a concept project. It shows how we would approach the problem; it is not a client engagement, and every number is projected.

Industry
Healthcare
Several miniature clinic buildings sending messages along glowing paths to one shared front desk.

The problem

Enquiries come in through the website, phone, email and social media, and each clinic handles its own. Some enquiries never get a reply, and managers cannot see which clinic converts best.

What we built

  1. 1One inbox for enquiries from every channel, routed to the right clinic automatically.
  2. 2Reminders that tell staff who to call back today, and escalate anything older than a day.
  3. 3Booking links sent from the CRM, with the appointment written back when it is made.
  4. 4A weekly report of enquiries, bookings and response times per clinic.

Projected result

  • Every enquiry answered within one working day (projected).
  • Around 10% to 20% more enquiries turned into bookings (projected).
  • One view of demand across all four clinics.
