ConceptWholesale and distribution

One system for a wholesale distributor

A distributor with two warehouses replaces spreadsheets and email orders with one live system for stock, orders and invoices.

This is a concept project. It shows how we would approach the problem; it is not a client engagement, and every number is projected.

Industry
Wholesale and distribution
Two miniature warehouses with shelves of boxes and delivery vans, all linked to one glowing screen in the middle.

The problem

Orders arrive by email and phone and are typed into a spreadsheet. Stock is counted in a second file per warehouse, and invoices are written by hand in accounting software. Nobody trusts the stock figure, and closing the month takes four days of checking.

What we built

  1. 1A single order screen that checks live stock in both warehouses before confirming.
  2. 2Purchase orders suggested automatically when an item drops below its reorder level.
  3. 3Invoices created from delivered orders and sent to Xero, so nothing is retyped.
  4. 4A daily dashboard of sales, margin and late payments for the owner.

Projected result

  • Month end in under a day instead of four (projected).
  • No more invoices typed by hand.
  • One stock number everyone can trust.
